Near Relative Employment

Subject to the Chancellor's approval, the employment of near relatives in the same department may be permitted when such concurrent employment would be in the best interests of the University. For the purpose of this policy, a near relative is defined as a spouse, domestic partner, parent, child (including the child of a domestic partner), or sibling. In-laws and step-relatives in the relations listed, including relatives of the domestic partner who would be covered if the domestic partner were the employee's spouse, are also defined as near relatives.  Please refer to http://atyourservice.ucop.edu/employees/policies/staff_policies/spp21.html.

JOP has delegation of authority to review near relative employment requests involving casual-restricted (student) employees.

Before offering a student a position, please answer the following questions and submit to Christine Alexander, calexander@ucsd.edu.

  2. Payroll title for near relative:
  3. Was this an Open Recruitment or an Exception to Hire Request?
  4. Will the department hire another candidate if the near relative request is denied?
  5. Will the near relative candidate…
    a. Work in the same unit/department or VC area as the UC employee?
    b. Report directly to the UC employee or vice versa?
    c. Report to the same supervisor as the UC employee?
    d. Work in the same location or in close proximity to UC employee?
  6. Would the near relative candidate and UC employee work within the same unit/department/VC area but report to others?
    If yes, will the near relative candidate or UC employee have decision making authority or influence on salary, job responsibilities or other work related activities?
  7. Is the near relative on a reporting line over the UC employee or vice versa (Provide reporting line including names and titles or an Organizational Chart)?
  8. Family relationship of the near relative to UC employee? (i.e. mom, dad, brother) UC employee’s name?
  9. Does the near relative have unique qualifications for this position to support this request?
  10. How large is the working unit within the department?
  11. (If required by VC Area) Does the VC or VC area human resource designee endorse this near relative request?

JOP will email an approval or disapproval to the hiring department. If approved, the department may proceed with the hire. The near relative approval must be annotated in PPS (Payroll and Personnel System) via a PAN (Post Authorization Notification) comment.
