Recommendation File Service:
Teaching, Academic and Post Doctoral Fellowship

Recommendation letters are typically required for application to academic instructional positions (K-12 teaching and tenured & non-tenured faculty positions) and post-doctoral fellowship.

We offer a Recommendation File Service for collecting, storing and sending letters for instructional or post-doctoral fellowship opportunities.  This convenient, online service is accessible 24/7 and allows you to collect and manage the distribution of your letters.

                                                                                           

Get Started
  • Read the Recommendation File Service Policies (pdf)
  • Click "New User Login" above to setup a file
  • Enter your PID other UC
  • Create a username and password
  • Choose the appropriate file service (i.e. Academic or Post Doc)
  • Fill out the required "Applicant Data Form" and "Authorization Form"
  • Pay the appropriate setup fee using a MasterCard or Visa
Forms
  • Print and fill out the Waiver and Routing Form (pdf)
  • Indicate whether you have waived or retained your right to view the letter
Add Letter
  • Give a completed Waiver and Routing Form (pdf) to each of your writers
  • Inform your writer(s) that the completed form must accompany the letter
  • Letters will post to your account within one full business day of receipt
Check Letter Status
  • Log on to your online file service account
  • Click on "View List of My Letters"
  • See the letters that we have received
Purchase Distributions
  • Log on to your online file service account
  • Click on "Purchase Distributions"
  • Choose the number of distributions you need
  • Fill out your credit card information
  • Click "Continue"
  • Proceed to send your letters
Send Your Letters
  • Log on to your online file service account
  • Verify that we have received the letters that you want to send (Check Letter Status)
  • Click on “Request a Distribution” (You must Purchase a Distribution first)
  • Fill out the Request Form with your institution’s information
  • Click on which letters you want sent to the institution
  • Choose rush mailing (Priority or Express Mail) additional fees will apply
  • Click "Continue"
  • Print the confirmation screen for your own records
  • Click "Confirm Request"
  • Letters will be sent within 5 business days after receipt
Check Distribution Request Status
  • Log on to your online file service account
  • Click on "View Distribution Request History"
  • See the status of your distribution requests
  • "Pending" status means that we are still processing your request
