Reference Letters and the UCSD Reference File Service

Reference letters are typically required as part of the application process to professional schools (medical, dental, law, business, etc.), to academic graduate programs (master's and Ph.D. degrees in an academic field, e.g., history or biology), and for academic instructional positions (K-12 teaching and tenured & non-tenured faculty positions).   Career Services Center offers a reference letter file service for maintaining and sending letters described in full below.

The Reference File Service

Summary:  Our file service can facilitate the collection,
maintenance and forwarding of reference letters for applicants' instructional or post-doctoral fellowship opportunities and/or applications for admission to professional or graduate school.
If you are not an applicant, but have been asked to write a
reference letter, check out our tips and guidelines (pdf).

Why would I use the Reference File Service?
Our service is convenient. Online and accessible 24/7, it allows
you to set up a new file, confirm letters are in your file, request
a distribution of your letters and check on the status of your distribution requests. The file service is not designed to forward
letters in support of employment or internship opportunities, be
they in educational institutions or other organizations.  If you are applying for admission to graduate or professional school, review
more detailed information (pdf) to help you decide if you need this
service. Potential and current Reference File Service users
should review current policies and procedures
(pdf) before attempting
to use the File Service Online.

Who is eligible?
This service is available to current UCSD students who are pursuing a degree at UCSD and UC alumni, excluding UC Extension. Students taking courses at UCSD, but pursuing degrees at other UC campuses or other non-UC schools should establish files at their home institution.

What is the cost and how do I pay?
There is an initial setup fee per file and a fee each time letters are distributed from your file. Payment is made online by credit card (VISA and MasterCard).  For a full description of fees, see the File Service policies
(pdf).

How do I get started?
It’s easy! If you are a current UCSD student seeking a degree from UCSD or you are a UCSD graduate, you will need your UCSD PID # and payment information to get started. Once you have completed the setup process, the Reference File Service may be accessed anytime by clicking on the Reference File Service Login button. If you are an alumnus from another UC, follow the instructions on the Other UC Eligibility page.
